How to use the OneDrive App on iOS or Android

We recently released a guide for OneDrive (the free, or Office 365 Home/Personal version). This multi-platform guide describes how to do common OneDrive tasks such as uploading and sharing files on various versions of Windows, as well as the Mac platform.

Both iOS and Android have mobile apps where you can easily do many of the same things. On both mobile platforms, you can also go to onedrive.live.com for a more full-featured experience similar to the desktop platforms, but the app is easier for common tasks.

Saving Documents to OneDrive

iOS: If you are using the Microsoft Office apps, these save automatically directly to OneDrive.

Many third-party apps also support saving files to OneDrive from within their app.

Android: When in any document, [Tap] Android_Share and select OneDrive.

Uploading Existing Folders or Documents

iOS: In the OneDrive app, go to the folder to which you want to upload files. [Tap] iOS_3dotsBottom, then ADD ITEMS, then CHOOSE EXISTING. Select the file(s) and [Tap] UPLOAD. (Images and videos only)

Android: In the OneDrive app in the FILES section, go to the folder to which you want to upload files. [Tap] Android_Add, then [Tap] UPLOAD Android_Upload, then locate and select the file(s).

Sharing OneDrive Documents

iOS:

  1. In the OneDrive app, [Tap and hold] the document or folder you wish to share, to select it.
    Check circles appear next to all the files IOS_Checked.
    Tap circles to select additional files.
  2. [Tap] iOS_BoxArrow, choose INVITE PEOPLE or SHARE A LINK.
  • INVITE PEOPLE: Type email address of the contact, or [Tap] iOS_AccessContacts to access your contact list. Or select from RECENT CONTACTS. Indicate whether to allow editing, and increase security by requesting that recipients sign in with their Microsoft account. [Tap] ADD.
  • SHARE A LINK: Choose whether the link is to VIEW ONLY the shared item, or to VIEW AND EDIT it. [Tap] OK. Indicate how to share the link by selecting from the list.

Android:

  1. In the OneDrive app, [Tap] checkboxes next to files to select them.
  2. [Tap] Android_Share, and choose INVITE PEOPLE or SHARE A LINK.
  • INVITE PEOPLE: Type names of contacts, or select from RECENT CONTACTS. Select specific email address of the desired contact. Indicate whether to allow editing, and increase security by requesting that recipients sign in with their Microsoft account. [Tap] Android_Send.
  • SHARE A LINK: Choose whether the link is just to VIEW the shared item, or also to EDIT it. [Tap] OK. Indicate how to share the link by selecting from the list.

Stop Sharing or Change how a file is shared

iOS: Select the shared file, [Tap] iOS_BoxArrow, select VIEW PEOPLE SHARED WITH. [Tap] people or links and change sharing method or REMOVE PERMISSIONS.

Android: Select the shared file, [Tap] Android_Share, choose VIEW PEOPLE SHARED WITH. Can select emails or links and modify or stop sharing.

Send a OneDrive Document to Someone

If you don’t need to be able to control the sharing of a file (e.g. stop sharing it later, or control view vs edit), you might just want to send someone a file instead.

iOS:

  1. In the OneDrive app, select (tap and hold) the files you wish to send. [Tap] circles to select additional files.
  2. [Tap] iOS_BoxArrow, choose SEND FILE. Select the method of sending and continue in the usual way for that app.

Android:

  1. In the OneDrive app, select the item(s) you wish to send.
  2. [Tap] Android_Share, choose SEND FILES. Select the method of sending and continue in the usual way for that app.

Moving Documents or Folders

iOS: In the OneDrive app, select the item(s), [Tap] iOS_FilesIconat the bottom, select the destination folder then [Tap] MOVE, or [Tap] NEW FOLDER.

Android: In the OneDrive app, select the item(s), [Tap] Android_Move at the top, select the destination folder and [Tap] MOVE HERE.

Deleting Documents or Folders

iOS: In the OneDrive app, select the item(s), [Tap] iOS_Trash at the bottom, and [Tap] DELETE to confirm.

Android: In the OneDrive app, select the item(s), [Tap] Android_Trash at the top, and [Tap] OK to confirm.

Renaming Documents or Folders

iOS: In the OneDrive app, select the document or folder, [Tap] iOS_3dotsBottom, then [Tap] RENAME THIS FILE or RENAME THIS FOLDER. Type the new name and [Tap] DONE.

Android: In the OneDrive app, select the document or folder, [Tap] Android_3dots, then [Tap] RENAME. Type the new name and [Tap] OK.

Creating a Folder

iOS: In the OneDrive app, go to the location for the new folder or stay at the top level.

Tap iOS_3dotsBottom, and choose ADD ITEMS, then CREATE A FOLDER. Name it, then [Tap] CREATE.

Android: In the OneDrive app, go to location for new folder or stay at the top level. [Tap] Android_Add, and choose CREATE FOLDERAndroid_CreateFolder. Type a name for the new folder, then [Tap] OK.

Sorting or Viewing Documents

iOS: In the OneDrive app, [Tap] iOS_3dotsBottom at the top right, and choose SORT BY then select a sort method. (Note: Make sure no files are selected or you won’t see the command). The view of the items can be changed by [Tapping] iOS_3dotsBottom, and choosing THUMBNAILS VIEW or DETAILS VIEW.

Android: In the OneDrive app, [Tap] Android_3dots and choose SORT then select a sort method. The view of the items can be changed by [Tapping] Android_3dots and choose VIEW AS THUMBNAILS or VIEW AS LIST.

Searching for Documents

iOS: In the OneDrive app, at the top of any list, [Tap] in the Search bar. (Note: on the iPhone you need to first pull down on the list to see the search bar).

IOS_SearchBar

Type search text fragment, and [Tap] SEARCH. The list is filtered to show your search results. [Tap] CANCEL to return to the full list.

Android: In the OneDrive app, [Tap] Android_Search Type search text, and [Tap] Android_keyboardarrow. The list is filtered to show your search results. [Tap] X to clear the search in order to do a new one. To return to the full list, [Tap] Android_3Lines then [Tap] FILES.

Viewing Recent Documents

iOS: In the OneDrive app, [Tap] iOS_RecentIcon at the bottom.

To return to the full list, [Tap] iOS_FilesCloudat the bottom.

Android: In the OneDrive app, [Tap] Android_3Lines at the top left, then tap RECENT DOCUMENTS. To return to the full list, [Tap] Android_3Lines, then tap FILES.
